File Manager

The Document Manager (formerly File Manager) Module

Introduction

Adam Morton

The File Manager is a simple module that allows Administrators with the appropriate rights to upload files to their phpWebSite sites. These files can be anything from mp3s to archives of data. All files should be categorized via the FatCat categorizer to allow them to show up in key areas of your site.


Adding a New File

Before uploading a new file, make sure you have decided what the description of the file will be and which of your site's categories the file will fall into. Then, follow these steps to upload your new file:


  1. Make sure you are logged in and have permission to use the File Manager.

  2. Open your Control Panel.

  3. Select the Site Content tab.

  4. Find and select the File Manager module.

  5. Click Add New File (Figure 1).



  6. Click the Browse button under Upload File and select the file you wish to upload.

  7. Fill out the Description for your file.

  8. Select the Category or categories this file will belong to (Checking "Sticky" will make it always show up in the What's Related area for categories).

  9. Click Submit (Figure 2).



  10. Your file will be saved and you will be presented with the Details of the uploaded file.

  11. Click Return to Main to return to the current file listing.



Editing an Existing File

Before editing a file, make sure you have decided what changes will be made including the description of the file will be and which of your site's categories the file will fall into. You can also upload a new file to replace the current one. If this is the case, then have in mind where the file is located. Then, follow these steps to edit your file:


  1. Make sure you are logged in and have permission to use the File Manager.

  2. Open your Control Panel.

  3. Select the Site Content tab.

  4. Find and select the File Manager module.

  5. Find the file you wish to edit in the file listing.

  6. Select the check box next to the file you wish to edit.

  7. Select the Edit option from the drop down list of actions (See Figure 3).



  8. Click Go.

  9. If you wish to change or update the current file with a new copy, click the Browse button under Upload File and select the file you wish to upload. Once you finish editing, the current file will be replaced by the new one you just selected.

  10. If you wish to change or update the description, simply update the text in the Description box.

  11. If you wish to change the categories your file appears in, select those categories in the Categories box.

  12. Check over your changes one last time to make sure you haven't made any mistakes.

  13. Click Submit.

  14. Your changes will be saved and you will be presented with the details of the changes.

  15. Click Return to Main to return to the current file listing.


Removing an Existing File

Before removing a file, make sure you are positive you want to remove it from the File Manager. Once the file is removed, it cannot be recovered. If you are sure, follow these steps to remove your file:


  1. Make sure you are logged in and have permission to use the File Manager.

  2. Open your Control Panel.

  3. Select the Site Content tab.

  4. Find and select the File Manager module.

  5. Find the file you wish to remove in the file listing.

  6. Select the check box next to the file you wish to remove.

  7. Select the Delete option from the drop down list of actions.

  8. Click Go.

  9. You will be asked to confirm the deletion of the file. If you are sure click Yes, otherwise click No.

  10. If you select Yes, your file will be removed and a success message will be shown.

  11. If you select No, your file will not be removed and a message will be shown to confirm the file still exists.

  12. Click Back to Main to return to the current file listing.


Hiding or Showing an Existing File

Hiding and showing a file will hide it from your site visitors or allow your visitors to view the file. Before hiding or showing a file, make sure you are positive you want to hide or show that particular file. Keep in mind, you can select multiple files from the file listing to hide or show. Follow these steps to hide or show your file(s):


  1. Make sure you are logged in and have permission to use the File Manager.

  2. Open your Control Panel.

  3. Select the Site Content tab.

  4. Find and select the File Manager module.

  5. Find the file(s) you wish to hide or show in the file listing.

  6. Click the check box(es) next to the file(s) you wish to hide or show.

  7. Select the Hide or Show option from the drop down list of actions.

  8. Click Go.

  9. The file listing will be refreshed with the file(s) you had selected hidden or viewable.

Files are a no show

I have followed this process step-by-step, but the files do not show up in the "what's related" section. Are these instructions complete?

Sounds like it might be a Fatcat issue, not a File Manager issue... I've got a note to myself to try this out this weekend.

Document Manager

I have document manager in my control panel but there is no sign of File Manager - Is there a difference?
Also, there is no upload available to actually get the files up to my website.
Am I doing something wrong?
I only have form fields for:

Name
Category
Description
Full text
-----------------
Where do I upload the actual file?

I'm having also the same problem since I've upgraded to 0.9.3-2 from 0.9.3-1
In the mod dir now there are two mods: phatfile and documents. So now in control panel i have 2 Document managers: the one related to phatfile doesn't work, the one related to mod documents works but is useless since there is no option to upload a document.

What can I do?

I found it myself!
I looked at the code and found that it tried to save the file at
phpwebsite/files/documents
That directory didn't exist. Probably caused by some problems with write permissions during installation. (My fault)
I made the directory and gave it full permissions (MS2000server platform). Now it uploads ok

I'm having the same trouble with uploading pictures into an album. I tried changing the permissions like in the last post, but didn't have any luck. The weird thing is, i got the error message, then was able to upload one image, then haven't been able to upload any since. Everything else on the site seems to be working, so i don't think it is a server problem. any suggestions?
Upload Size Limit

Out of curiosity, is there a file size limit for uploads? I am unable to upload large PPT file (19MB) without the server connection timing out.

These instructions are old. The process for uploading files in Document Manager is different than those identified here.

Yes, there seems to be a file size limit. I had thought it could be changed by editing the JAS_MAX_UPLOAD_SIZE in mod/documents/conf/config.php, but changing the value there has no effect on the upload size limit. Somewhere a limit of just under 2 megs is set. It would be nice if I could find out where, and reset it.

Well, it turns out that the file limit is not set in phpws, but in the sitewide php.ini file. At least I think so, one quick test....

Trouble with security

I have installed the latest version of document manager. I have set the module to not allow anonymous user to view/download documents. I have created a user and given this user rights for the document manager (view and download). This does not work. I cannot get a mortal user to view or download documents. Am I doing something wrong?

If I have this right... you set premisions and it still does not work the way you think it should... When I create a new user &/or group I 'togle all' then check off all permisions I do not want thay user to have and then save... for some reason that seems to work... befor I would check the premisions I wanted them to have and a big no go... good luck

Uploaded file

Hello,
I ran into a file size limit when uploading a PDF document to the Document Manager. So I uploaded the file through FTP, put the file in the correct directory (file/documents/) and modified the MySQL table to indicate that there was a file related to that Document (mod_documents_files). I used one of the other PDF's that is working as a reference. I have it showing that there is a file associated with that document when viewing that document, but when I click on the download link it doesn't download the file (Firefox ends up looking at it like the file is "index.php.pdf"). What have I missed that I need to change to get this file working?

Document Manager has an option to show or hide documents from anonymous users. This applies to all documents.
I want some documents to be available for anonymous users and other documents only for registered users. Is there an option to realize this?

I've added all 300 users to my "users" group, and given that group permissions to view documents.

However, all users are still unable to view documents. The only way I've found (so far) is to give each user permission individually (which I would have to do for 300 users!)

Do the group permissions not do anything?

The rights management in phpWebSite is really bad (I also have problems with letting users view documents).

I love all the functions phpWS have but the lousy rights management have made me look for other CMS solutions.

Document Manger Not Showing File Upload

I host about 20 phpwebsite installations. We just installed a new 0.9.3-4 core will all mods and set the site up like normal.

Everything seemed to be fine until the client decided to upload documents. There is no file upload showing at all.. just lines to give it a title, headline, and text. But no upload... anyone know what I am missing..

I am logged in as an admin deity! Still no upload.. there is a documents folder in the files directory. Even tried 777 permissions. Anyone have an idea?

I had the same problem. The solution is ugly (but works):
create the new document, without the files. I.e. give it a name, description and full text. Once you have submited it, choose to edit this document, and now you can upload your files.

I did get it to work using the tip mentioned above but when I upload "mydoc.pdf" it downloads "mydoc" and of course this causes problems for the user.

I have this problem too. Files are uploading correctly in the Document Manager, but when users download them the downloaded files do not have the file extension (like .pdf) and have to add them manually.

The files show in the Document Manager as having the file name with extension.

Does anyone know how to fix this?
Assigning User Permissions - INSTRUCTIONS

Select USER ADMINISTRATION from the Control Panel
Select MANAGE USERS
Make sure that the ADMIN option is set to YES in front of the user's username.(THIS DOES NOT MEAN THEY ARE THE ADMIN.) It allows you (THE ADMIN) to Administrate the user account.

Once that is activated you can either change each user's settings OR use GROUPS.

To do that, Select MANAGE GROUPS or CREATE a group if you don't have any yet(EG: GENERAL USERS) Then go to Manage Groups and add all the users you want to give specific access to to the group.

Now you can go down the list and activate all of the users in that group with those permissions.

No Files

I've followed the instructions in the previous posts, but I still cannot get files to show up. I'm logged in as a deity, with all boxes checked for permissions, everything should be chmodded correctly, but I'm trying to get it all figured out so I can help a friend with his band website so he can upload their mp3 files for people to download and whatnot. (That and it would be great for the download section of my website)

Any help would be greatly appreciated.

I am not at all convinced by the suggestion to turn on ADMIN for all users. From my testing, that really does enable administrative privileges contrary to what the previous poster said. The best way to manage user permission is to create a group for users, give this group the required permissions, and then let the users inherit these permissions from their group. This means that you don't have to maintain custom permission lists for each of your users.

If you are seeing permission problems in the document manager (such as unable to view file) check the webserver log. If you see messages like this:

[client 192.168.1.3] PHP Notice: Undefined index: JAS_File_id in /var/www/html/mod/documents/class/Document.php on line 421

then this is due to a bug in the current Document Manager in 0.10.0 of phpwebsite. It seems that this problem came from the systematic renaming of File Manager to Document Manager. I fixed it by changing all occurrences of JAS_File_id to JAS_Document_id in the files in directory mod/documents/class. You need to get the capitalization right.

Apologies to Dave - the ADMIN checkbox really does just turn on/off the adminstration capability for that user, and does not in itself grant admin privilege. I got confused while playing with this. I see that the authors intend to rename this mechanism in a future version.

One other thing to remember - it seems that users pick up their permissions upon login and carry them around until logout. If you are changing permissions and trying to test them, you need to logout the user to see the updated permissions.

With all this in mind, and the bug fix I mentioned previously, I have the document manager working nicely.

I did the rename of JAS_File_id to JAS_Document_id and get massive errors. There must be something else you've done or I've done. Any ideas would be appreciated.
Edit & delete own documents

I would like to set up the permission, allowing individuals in the same group can view each others' documents; but only edit/delete his/her own documents. Right now, I can not do that; as long as one is in the same group, he/she can create/edit/delete not only his/her but others documents as well. Is there a way to setup the permission to do the right thing?
Category listings

It would be very nice for the document manager to allow you to drill down into the category listing instead of dropping you into the file listing for that sub-category. The idea is to be able to link directly to a specific category heirchy vice the whole thing. I'm hoping to work on this, but I'm still getting my head wrapped around 0.9.x over 0.8.x

Even when logged in as admin/deity I still get the message "You do not have permissions to view documents" when I click on Download. When I change settings to allow anonymous users download it opens the (in this case) .pdf file as a html doc and fills the browser with the (text characters) of the pdf file.

Big probs, its making my website useless as its mainly based on archive documents.

Any ideas what I can do to fix this?

I tried the renaming of "JAS_File_id" to "JAS_Document_id" in ALL the files in directory "mod/documents/class". It worked fine. And solved my problem with the "You do not have permissions to view documents" problem.
Problem uploading files

I just upgraded from .9.30 to 0.10 and now the document nmanager does not allow me to upload files. I get "There was a problem uploading the specified file" message.

I tried changing the permissions with no luck.

I have a question regarding Firefox. We you go to download a file in the view document page. (aka download delete move)
firefox typically brings up the download manager. If I click on save file radio button, it saves the file with out the extention. The file is uploaded to the server with the extention (/var/www/html/phpws/files/documents/file.ext). The open with works fine and calls the right program to open it with. I'm getting flack about this with my co-workers after introducing phpws to them. How can I fix this?

I have tried to get this mod to work with no luck.
When I first open the mod there is no place to upload files. I tried what was suggested in other posts about 'creating the file first' and then going back into it.
I can then get into the screen to upload files, but no matter what the file type is, I am getting errors and am unable to upload anything.
Specifically I have tried to upload txt files, html files, htm files, and mhtml files.
Nothing works.
Am I missing something or is something not correct in the settings or what?

I found a fix for this problem!! on the Phpwebsite Manual Forum

Here it is

go to your conf/security_config.php file

change
$parse_all_files = TRUE;

to
$parse_all_files = FALSE;

I found a fix for the above issue. But as soon as I put in in place now all my file end up in my http root directory of the site with JAS_DOCUMENTfilename.pdf. But it does work any input on whats up?
How do you update Categories?

Is there any way around the upload limit in the php.ini file? My host states that I'm on a shared server and if it changes for one, it changes for all. They will not increase my upload size above 1Mb. They suggest that I create a FTP account and use that, giving my registered members access and upload limits.

I would much rather use Document Manager if possible. Outside of changing hosts, is there a work around??

Here is a work around. You can use FTP to upload a file, the post a link in the document description or full text to the ftp location of the file.

You won't be able to upload or download via PHP, but that is the policy of the sysadmin and their word is law, on their machine.

I had the same problme with 10.1, upgraded to 10.2 and problem went away.

Some problem with the way phpwebsite 10.1 determines if a file is 'dangerous' or similar.
File list size

I am trying to find out is there is a way to limit the size of files per page. I would like the page to list only 10 files at a time and allow the user to scrole page to page to view all files.

No Document/File Manager in Control Pannel

Hey guys,
Please excuse my ignorance regarding phpwebsite, my friend began creating the site for me and he has seemingly has dropped off the face of the earth...so I'm stuck trying to figure this stuff out for myself.

Ok, here's my question: under control pannel>Site content, I have no document/file manager module. I've gone to the boost module thinking maybe it had to be installed, but I had no option to add it. I did add Documents, but apparently that is not the same thing. The version I have is 0.10.1...any ideas as to what I can do to upload files?

Does category have its security for each user?

I want to set permission for each user to view or download documents in each category. How do I do so? For example, user A can only view and download documents in category A, but not in category B,C,D and so for.

You can't have that permission set. there are three tiers:
view, edit
view
no view.

I'm sorry, that was not helpful.

You set documents permission for the document module, not the user.

Anonymous can either view or not view all documents
Registered users can view or not view all documents
Registered users can edit or not edit all documents.
